Overview

SubBase is procurement and material management software for construction firms. It covers the path a material or equipment order takes from a field request through vendor pricing, purchase order, delivery and invoice approval.

Crews request materials from any device using pre-loaded catalogs. Purchasing staff can send requests for quotes to multiple vendors, compare the returned prices, split orders, assign internal cost codes and issue POs to preferred suppliers. Deliveries are captured on mobile, and invoices are reconciled against POs line by line before going into an approval workflow. The product also includes vendor messaging, stock management, historical line-item price analytics, spend tracking and custom reporting.

SubBase names integrations with Acumatica, CMiC, Excel, Foundation, Procore, QuickBooks, Sage and Viewpoint. Vendors can also join through a vendor network to handle quotes, orders and deliveries for their existing contractor clients.

SubBase doesn't publish prices on its website and directs visitors to request a demo. Its FAQ says pricing comes in a few tiers based on company needs, with no per-user or per-project charges, and that vendors join at no cost.

The AI angle

SubBase says field users can make material requests through conversational AI or by photographing a handwritten list, in addition to choosing from catalogs. The company does not detail how the photographed list is processed.

After materials arrive, SubBase describes AI-powered matching of delivery captures that flags problems with a delivery. On the accounting side, it says AI matching compares invoices with POs and starts approval workflows; its product page lists automated logs, material line-item comparison and cost-code confirmation as AI-assisted parts of invoice reconciliation.
