Choosing phone, chat & ai receptionists software
AI receptionists and answering services pick up calls when you cannot, capture the details of the job and in some cases book it straight onto your calendar.
Our own general advice, not a recommendation of any product.
Questions to ask on every demo
- Does a person or an AI answer, and when does it hand off to a human?
- Can it book directly into my scheduling software or only take a message?
- How does it handle emergencies, after-hours calls and callers who are upset?
- Is pricing per minute, per call or a flat plan, and what counts as overage?
- Can I listen to recordings and review transcripts?
- How do I tell it what to say about my services, service area and prices?
What to watch for
- Call recording and AI disclosure rules vary by state. Ask how the vendor handles consent.
- Test it by calling it yourself with the messy questions real customers ask.
- Usage-based pricing can surprise you in a busy season.
If you are a small firm
Start with after-hours and overflow calls only. It limits risk and shows quickly what it would have missed.
Terms you will hear
- AI receptionist
- A voice or chat assistant that answers calls or messages for a business, collects the details of the request and may book an appointment.
- Voice agent
- An AI system that conducts a spoken conversation, such as answering a business phone line.
