Overview

Ruby is a virtual receptionist and managed live chat service from Ruby Receptionists, Inc. Trained receptionists answer calls and chat with website visitors for a business, around the clock including weekends and holidays, in English and Spanish.

The company lists lead qualification and intake, appointment scheduling, payment processing, outbound calling, flexible call forwarding with backup coverage, robocall filtering and number porting, along with a mobile app and integrations. On its home services page, Ruby says receptionists gather customer details and book installations, repairs and estimates, screen or route calls by urgency using the business's own rules, and can handle full-time, part-time or overflow coverage.

The AI angle

Ruby says callers always speak with a human receptionist and that AI supports them behind the scenes. Its AI page describes Call Nav, an LLM-powered assistant that pulls information from a database built for the business a receptionist is representing; the company says only its receptionists use it and that it draws only on information the business provides.

Ruby also lists AI-generated transcripts of calls and voicemails, sentiment analysis shown in its app and portal, and AI-assisted robocall filtering. The company says these features are built in-house and included in every plan.

Before you buy

Questions worth putting to Ruby, or any phone, chat & ai receptionists vendor, on a demo call:

  • Does a person or an AI answer, and when does it hand off to a human?
  • Can it book directly into my scheduling software or only take a message?
  • How does it handle emergencies, after-hours calls and callers who are upset?
  • Is pricing per minute, per call or a flat plan, and what counts as overage?
